The assocation records name, email address, and affiliation of its members. The association stores signed copyright transfer forms (including the names of all authors) for papers published at the FMCAD conference. For donors or contractors, the assocation records the name (of the company, institution, or individual), contact details, and details of financial transactions (such as amount, account numbers, receipts). The association stores emails it receives or sends.
The association has a legitimate interest in staying in touch with its members. The association requires copyright transfer forms as evidence that is holds the rights to publish the contributions accepted at the FMCAD conference. The association is legally required to store the details of all financial transactions pertaining to its operations.
Information is stored on a computer system of the association. Data will be protected against disclosure to third parties by appropriate technical and organizational measures. Copyright transfer forms may be passed on to the publishers indicated on the form. Other information and information about non-members are at most processed internally by the association, and only if they are related to promoting the association's purpose and only if no evidence exists that the person has a genuine interest which precludes the processing. Membership directories will be managed by members of the Executive Board or by those members who have an assigned function within the association that requires knowledge of membership data. In case a member requests membership data on the grounds that she or he requires the data for performing her or his duties in accordance with the association's constitution, the Executive Board will only turn over the data after the requesting person gives a written guarantee that she or he will not use the data for other purposes.
All personal data and emails of members will be deleted once their membership is terminated. Data that is relevant for the association's financial management will be kept for up to ten years according to applicable tax regulations, from the date the membership termination is confirmed by the Executive Board. Copyright transfer forms will be stored indefinitely.
